Condo Association Approval
Many South Florida condos and HOA communities must approve a buyer or tenant before the deal can go forward. It looks like simple paperwork, but it takes experience to know when to apply, how to make sure every detail is right, and who to call at the management company. Missing documents or a lack of follow-up can delay a deal or derail it.
Why Experience Matters
I've been licensed in Florida since 2015 and have closed condo sales and leases in communities including Boca Lago, Boca Teeca, Whisper Walk and Century Village. Every association handles this differently. Knowing the management companies that run these communities means I know who to contact, and I can find out quickly where a file stands.
How to Get Through Approval
- Learn the rules before you commit. Ask whether approval is required, how long it usually takes, and what the rules are on leasing, pets and vehicles. A problem is easier to deal with before the contract is signed.
- Know when to apply. The application has to fit the contract dates and the association's schedule. Some boards meet only at set times, and some require an interview, so the closing date should leave room for that.
- Submit a complete package. Dot every i and cross every t. Use the association's current forms and include all signatures and fees. Associations commonly ask for the contract or lease, identification and consent for background or credit checks, along with any pet or vehicle information.
- Follow up. Confirm the management company received the package and that nothing is missing. Then keep checking until you have a decision, instead of assuming that no news is good news.
- Get the approval in writing. Make sure the people handling the closing have what they need, with enough time before the closing date.
What Usually Causes Delays
- Applying too late for the association's schedule
- Missing signatures, documents or fees, or using an outdated form
- Nobody following up after the package is submitted
- Finding out about a pet, vehicle or leasing rule after going under contract
- Not knowing who to contact at the management company
Who This Affects
Buyers need approval in time to close. Sellers can lose time or a buyer if the application stalls. Renters and landlords can lose a move-in date. I can help on any of these sides, in English or Hebrew. See also rentals, investing and property management and West Boca communities.
Common Questions
How long does condo association approval take in South Florida?
It varies by association. Some process applications quickly, and others wait for a scheduled board meeting or require an interview. Ask the management company for the current timeline before you set a closing date.
Can association approval delay or derail a closing?
Yes. Missing documents, a late application or no follow-up can push back the closing date. In some cases, that can put the whole deal at risk.
When should I apply for condo association approval?
It depends on the association and the contract. Applying too late can leave too little time before closing, so check the requirements as soon as you are seriously considering the unit, and apply as soon as the association will accept the application.
Who do I contact about my application?
Usually the community's management company. Knowing the right person there, and following up directly, often makes the process smoother.
Do renters need association approval too?
Often, yes. Many associations screen tenants and have their own lease rules, so a landlord or renter should check before signing.
What happens if the association denies my application?
Your options depend on your contract and the association's documents. Talk to a Florida real estate attorney about your specific situation.
This is general information, not legal advice. Each association's documents and your contract control the process. A Florida real estate attorney can advise you on your situation.
